You will need to save two copies of forms – one for yourself and one for end-users.

Editable Copy (Your Copy)

Save an editable copy for yourself as a PDF. (Suggestion: Add the word Editable somewhere in the file name so that you know you’re able to edit this version.)

Note: Be sure to keep your original Word file, too, in case you need to make changes later. Acrobat allows you to make some basic text edits; however, it’s best to make changes in Word and then go through the form creation process again to ensure accessibility and avoid frustration with Acrobat’s Content Editor!)

Non-Editable Copy (End-User Copy)

  1. Go to File > Save As Other… > Reader Extended PDF > Enable More Tools (includes form fill-in & save)…

Adobe Acrobat XI Pro File menu selecting Save As Other, Reader Extended PDF, and Enable More Tools2. In the Enable Usage Rights in Adobe Reader dialog, click Save Now. (This enables end-users to use Adobe Reader to fill out and save the completed form.)

Enable Usage Rights in Adobe Reader dialog box3. Be sure to save the Reader extended version with a different name.

Save As dialog boxNext week, we’ll wrap up our checking discussion with testing and an important note for Mac users.
